Job Description

The highly motivated individual in this position will assist the sales and catering department of both the Best Western PREMIER Waterfront Hotel and Convention Center and Premier Waterfront Catering with responsibilities as assigned by the Director of Sales.  The ideal candidate has a friendly demeanor; the ability to learn new compter programs, can multitask and complete projects in a timely manner.  The person should demonstrate exceptional customer service and problem-solving.

Thsi list of duties is not all-inclusive but rather a general guideline.  Other duties may be assigned and goals may change over time.

  • Maintain a thorough knowledge of business sales policies and procedures.
  • Represent these businesses with a high level of professionalism and good judgement.
  • Responsible for tinitial touch point for each caller and visitor to the sales and catering office when booking events at either business.
  • Composes and types routine correspondence, reports or contracts (to include banquet event orders, sales contracts, booking reports, call reports, etc.) based on organizational practice, policy and procedures at the direction of the Director of Sales.
  • Maintains a filing system and files sales records, correspondence and miscellaneous items.
  • Routes incoming mail and prepares outgoing mail for the sales and catering team.
  • Sends information to guests that inquire about business, books off premise catering events and service groups.
  • Follows up with past client events by sending our surveys in a timely manner.  Compiles guest surveys and delivers them to department heads.
  • Tracks local negotiated rates (LNR's) and prepares spread sheet with results.
  • Creates/compiles fliers, mailers, certificates, etc. to promote new business and follow up on recurring business.
  • Produces and prints in house material for promotional purpose or client/company use.
  • Manage office supplies and inventory, orders when necessary.

Requirements

It is desired the candidate have at least one year of previous hotel and/or catering sales administrative experience or administrative assistant experience in a related field.  A college degree is not required but could be a factor in the final selection of a candidate.

Excellent skill-set to include verbal/written communication, problem identification, problem solving, time management and math competency skills.

Proficient in compter functions and the use of office equipment and supplies

Ability to read, write and speak English fluently.

Represent the company in a professional manner wi;th good judgment and in an elhical manner.

Must have a flexible work schedule and work as required.  Some nights and weekends may be necessary.
